Hours: Monday to Friday, 8 AM to 5 PM
Salary: $55,000 to $65,000


Objective:

The Purchasing Coordinator is directly responsible for coordinating the movement of purchased materials from suppliers and addressing any supply/supplier issues. The production requirements of the company will be reviewed by the Purchasing Coordinator on a weekly, monthly, quarterly, and annual basis. This position includes coordinating production requirements aligned with sales forecasts. The Purchasing Coordinator is also responsible for maintaining and creating new relationships with suppliers and negotiating prices and cost-saving measures to fit within the company budget. The entry of data, report generation and analysis of the data is an ongoing duty. Other tasks include resolving issues of material defects, invoice discrepancies and delivery timelines.

Responsibilities:
 
  • Supplier Management and Negotiation: Responsible for preparing, analyzing, and negotiating Requests for Proposals (RFP) with local suppliers for the delivery of raw materials for production. They also need to maintain communication with suppliers to address errors in partial or duplicate shipments, prices, and substitutions.
  • Documentation and Record Keeping: Compiles data from vendor invoices and supporting documents to verify billing accuracy and ensure receipt of ordered items. They compare invoices against purchase orders and shipping documents, update the ERP system with landed costs, prepare customs documentation for outbound shipments, maintain accurate lists of serial numbers and equipment warranties, and keep inventory records up to date.
  • Inventory Management: Ensuring strict control over inventory levels to meet internal and external demand, the coordinator analyzes inventory needs based on sales trends, production requirements, and current stock levels. They place purchase orders to maintain optimum stock levels and meet turnover goals.
  • Problem Solving and Communication: Investigating payment problems according to corporate policies and procedures, the coordinator communicates delays or variances in inbound freight to the relevant parties. They also investigate lost or damaged shipments, making necessary adjustments and conducting negotiations as needed.
  • Process Improvement: Plays a key role in developing and assisting with the implementation of processes for efficiency improvements.
  • General Duties: In addition to the specific responsibilities mentioned above, the coordinator is expected to perform any other duties as required in the course of their role.

Qualifications:
 
  • High School Diploma or GED required. A secondary Diploma in Purchasing is preferred.
  • 3 years of experience in Supply Chain Management.
  • Ability to accurately calculate, post, correct, and manage finances for material supply within budget constraints.
  • High level of discretion in handling confidential information and financial transactions.
  • Strong skills in diplomacy, negotiation, and conflict resolution.
  • Knowledge of accounting systems, budgets, and internal controls.
  • Proficiency in using purchasing modules in an ERP system; SAP experience is preferred.
  • Strong attention to detail and high accuracy in work.
  • Strong work ethic and positive team attitude.
  • Analytical thinking, planning, prioritization, and execution skills.
  • Excellent teamwork, team building, and communication skills; including conducting presentations.
  • Ability to establish and maintain relationships with departments, business partners, and government agencies.
  • Strong problem-solving skills.
